The artefact included outlines the items raised during meetings. When: From 2016 onwards, Chatswood Public School has utilised the Communications module on Sentral for our meetings and agendas. What: These meetings include EAL/D and LOTE, Learning and Support Team meetings, stage team meetings, staff meetings, Health and Safety meetings, Music Committee meetings and Executive Staff meetings. How: The responsibility of recording of minutes is shared amongst staff creating a culture of inclusivity. Why: Staff members are able to leave the meeting feeling a sense of accomplishment with the agenda and documentation of the minutes as evidence of communication, productivity and effective practice.
The Significant Impact
Staff members can provide updates on agenda items or suggest other issues for inclusion enhancing effective communication and documentation of issues that arises in a school-based situation. Reviewing the agenda in advance gives attendees time to put together reports and other documents required for the meeting. Review of and additions to the agenda can also be performed before the start of the meeting. During the meeting, minutes are taken as each agenda is addressed and is is essential to the successful transfer of information, especially to non-attendees. Due to the use of this system, interruptions are minimised, the meeting is under control and issues that are important to staff are addressed.

As all staff at Chatswood Public School the agenda is set in advance of the meeting so attendees know what to expect and have time to prepare. As the chairperson for meetings may be different, the agenda gives the staff member conducting the meeting control over the flow of discussions, the issues covered and the attendees are responsible for reporting specific information at the meeting. An agenda also can help keep the meeting within a predetermined time frame controlling when issues are discussed.

Staff at Chatswood Public School understand that all items on the agenda must be discussed and move at a pace that ensures all items are covered. Agendas make it clear what the action items are and who are the responsible people. This allows staff members to leave meetings knowing what must be accomplished or what will occur before the next meeting. The agenda also allows attendees to review action items and follow up on the progress.

Action items are completed or newly developed, reports given, issues are resolved or raised for further action. The agenda items help with creating minutes that match the flow of the meeting and also provide a comprehensive documentation of the meeting. Staff members who are unable to attend the meetings are able to access the minutes after each meeting.
