The artefacts include a snapshot of how Chatswood public School utilises sentral to organise and maintain a record of the Extra-Curricular activities. When: Clubs are carefully formed by the end of the year for the following year and the students are selected using a lottery system at the beginning of Term One. In 2017, all data was entered under the Sentral under the Activities module. What: This information is also linked to the student profile and it can all be accessed by all the staff members. Similarly, House Points are also recorded on Sentral and constantly updated. In addition, teachers who are in charge of clubs or other extra-curricular activities are able to contact parents of students’ involved via the Sentral messaging system. Numerous staff members provided positive feedback on the convenience and efficiency of using this system. How: by maintaining the data on sentral, clubs data is also linked to the reporting system and is included automatically in student reports, further adding to the convenience and reducing errors. Why: The use of this system allows for better communication and dissemination of information ensuring an overall smooth running of the program.

 

The Significant Impact

The numbers of clubs and students involved in clubs have significantly increased to 25 clubs involving over 500 students. Any changes made during the year is easily updated on Sentral. As Chatswood Public School staff members have access to the data. This has made it easier for both teachers running the clubs, classroom teachers and office staff to keep track of students in various club. This has also reduced the use of paper for the clubs process.

The organisation of clubs has been more efficient on Sentral. The rolls can be exported on a spreadsheet for attendance. The teachers have access to the students’ details in regards to their special needs, medical alerts and other relevant information.

The staff members collaboratively update clubs and house point data on Sentral which allows us to keep track of school events such as Athletics carnival, Swimming Carnival, Cross Country and other events. Relevant staff were given training by Sentral staff to use the module to set up the process.

The data of clubs on Sentral includes teachers in charge, students involved, time, day and period (which terms). The teachers can communicate with parents efficiently using the Sentral messaging system. Teachers are in-serviced on using Sentral when necessary.
